Privacy Policy
This policy explains what personal data HireX handles, why, who can see it, and the choices you have.
1. Who we are, and our two roles
HireX is provided by Webyne Data Center Pvt. Ltd. ("Webyne", "we"). We handle personal data in two different roles:
- For the people who sign up and use HireX at a company (Users), we decide how their account details are used. This policy covers that fully.
- For candidates and employees of a company using HireX (the "Customer"), the Customer decides how their data is used, and we process it for the Customer. Candidates and employees should read that company’s privacy notice (shown on its careers site) and contact the company first.
2. What we collect
About Users and people who sign up:
- name, work email, phone number (optional), company name and the address chosen for the company;
- role and permissions, sign-in times, IP address and browser details, kept for security and the audit log;
- the two-step sign-in secret, which is stored encrypted;
- billing contact details. Card and bank details are entered on Razorpay’s page and are never stored by HireX.
Customer Data processed for the Customer, which can include candidates’ and employees’ contact details, resumes, job history, interview video, voice and screen recordings with their transcripts, AI scores, uploaded documents, offer letters and onboarding records.
3. How we use it
- to create and run each company’s HireX, sign people in and keep accounts secure;
- to send the emails HireX needs to send: sign-up links, invitations, password links, and the hiring emails the Customer turns on;
- to take payments and keep billing records;
- to give support, fix problems and improve HireX;
- to meet legal obligations.
We do not sell personal data, and we do not use it for advertising.
4. AI processing
Resume scoring, the AI interviewer (its questions, voice and video) and document checks run on servers operated by Webyne. Candidates’ resumes, answers and recordings are not sent to outside AI companies, and are not used to train AI models for anyone else.
AI results are suggestions for the Customer’s HR team; people make every hiring decision. Candidates are told about the AI and asked for consent before an AI interview starts.
6. How we protect it
- all traffic uses HTTPS;
- passwords are stored only as strong one-way hashes, and administrators must use two-step sign-in;
- each Customer’s data is kept apart by the database itself (row-level security);
- mail-server passwords and other secrets are stored encrypted;
- important actions are recorded in an audit log.
7. How long we keep it
We keep Customer Data while the Customer uses HireX. When a Customer’s HireX ends, its data is kept for 30 days so it can come back or ask for a copy, and is then deleted, except records the law requires us to keep (such as invoices).
8. Your rights
Under the Digital Personal Data Protection Act, 2023 you can ask to see the personal data held about you, have it corrected or completed, have it erased, and nominate someone to act for you. You can also withdraw consent you gave.
Users can update their own details in HireX. Candidates and employees should contact the company they applied to or work for; we help that company answer. You can also write to our Grievance Officer (below). We reply within 30 days.
10. Children
HireX is for companies and job seekers aged 18 or over. We do not knowingly collect data about children.
11. Changes to this policy
We may update this policy. For an important change we email the Customers’ administrators before it applies, and the date at the top of this page changes.
